A fast response is part of the process
The call centre received requests from online campaigns. Operators had to call people back, understand whether they were interested, and collect the information needed before the next commercial steps. During busy periods, a delay could cool a lead.
The problem was not simply “make more calls.” The team needed to reach people quickly, understand what they were looking for, and give operators a clear handoff.
An initial conversation with a human handoff
After a form is submitted, the agent starts a call within about 30 seconds. It holds a conversation in Italian, checks interest, and collects the information required by the process. When a lead is ready to continue, it transfers the call to an operator with the information already gathered.
The operator can pick up at the right point instead of starting over. A human handoff remains part of the design: the agent handles the first contact and structured intake, while the operator takes over when a person-to-person conversation is needed.
A bounded task with a clear outcome
The system shortens the gap between a request and a callback, then gives the team a useful summary for the next conversation. Its responsibility is specific: contact, check a few details, and route. It does not replace the sales conversation or decide the commercial outcome on its own.
The full case study shows the call flow and the handoff setup. The principle here is simple: a voice agent is useful when it owns one defined part of the process and knows when to hand the conversation over.
